While higher management is typically responsible for making key decisions and granting approvals, operational tasks are handled by lower management. As a result, seeking approval becomes a routine and integral part of business operations. Creatio simplifies this workflow by making approval processes easy to configure and manage.<\/p>\n\n\n\n<p>In our system, we use an entity called <strong>Estimates<\/strong>. Field service engineers create these estimates and submit them to their respective managers for approval. The following sections describe the steps required to configure this approval process in Creatio.<\/p>\n\n\n\n<p>The service engineer first creates the estimate and then submits it for internal review, as shown below:<\/p>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Estimate-Summary.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 2px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Estimate-Summary.png\" alt=\"\"><\/a><\/center><font size=\"2\"><center><i>Estimate Summary<\/i><\/center><\/font>\n\n\n\n<p><strong>Configuring the Approval in Creatio<\/strong><br>We have configured the approval process at the <strong>Internal review<\/strong> stage by following the steps below:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Go to the designer page by clicking the <strong>Settings<\/strong> icon at the top-left of the screen.<\/li>\n\n\n\n<li>Click <strong>Process bar<\/strong> and then select <strong>Set up cases<\/strong>.<\/li>\n\n\n\n<li>On the process designer page, click the stage where you want to configure the approval. In our case, we selected <strong>Internal review<\/strong>. Then click <strong>Add step<\/strong> and choose <strong>Approval<\/strong>.<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Add-approval.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 2px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Add-approval.png\" alt=\"Process Setup\"><\/a><\/center><font size=\"2\"><center><i>Process Setup<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Provide an appropriate name for the step. The approval settings window will open.<br><strong>Approval purpose:<\/strong> Enter the message that will appear in the approval notification, e.g., <em>Approval required<\/em>.<br><strong>Approval object:<\/strong> Select the entity for which the approval is being configured (Estimates).<br><strong>Record ID:<\/strong> Click the lightning icon and select <strong>Main record column<\/strong>. From the list of fields, choose the <strong>ID<\/strong> field.<br><strong>Approver:<\/strong> Select the appropriate option User, Employee\u2019s Manager, or Role. Since we want the estimate to be approved by the manager, we selected <strong>Employee\u2019s Manager<\/strong>.<br><strong>Employee:<\/strong> This field becomes available when Employee\u2019s Manager is selected. Choose the employee whose manager should receive the approval request. In our case, we selected the <strong>Service Engineer<\/strong>.<br><strong>Change stage after element is completed:<\/strong> Define the next stage based on the approval result:<br>  <strong>If result is Positive:<\/strong> Set the stage to <strong>Approved<\/strong>.<br>  <strong>If result is Negative:<\/strong> Set the stage to <strong>Rejected<\/strong>.<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-settings.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 2px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-settings.png\" alt=\"Approval settings\"><\/a><\/center><font size=\"2\"><center><i>Approval settings<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click <strong>Save<\/strong> on both the process designer and page designer.<\/li>\n\n\n\n<li>To provide better visibility of approvals, add the preconfigured elements <strong>Approval list<\/strong> and <strong>Approvals<\/strong> to the form page. Simply drag and drop them from the components panel. Since these are preconfigured elements, no additional configuration is required. Click <strong>Save<\/strong>. Refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-elements.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-elements.png\" alt=\"Approval elements\"><\/a><\/center><font size=\"2\"><center><i>Approval elements<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The summary page will now display the estimate record. While the estimate is still in the <em>Submitted<\/em> stage and has not yet been sent for approval, the approval list will be empty and the approval element will remain hidden. Refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Summary-page-with-approval-elements.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Summary-page-with-approval-elements.png\" alt=\"\"><\/a><\/center><font size=\"2\"><center><i>Summary page before approval sending<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>When the user moves the record to the <strong>Internal review<\/strong> stage, the approval list is updated and the approval element becomes visible, indicating whether the approval is pending or completed. Refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-elements-updated.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-elements-updated.png\" alt=\"\"><\/a><\/center><font size=\"2\"><center><i>Summary page after sending approval request<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>When the Supervisor logs in, they will receive a notification in the <strong>Approvals<\/strong> panel with <strong>Accept<\/strong> and <strong>Reject<\/strong> options. Refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-notifications.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Approval-notifications.png\" alt=\"\"><\/a><\/center><font size=\"2\"><center><i>Approval notifications<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>After reviewing the estimate, the Supervisor can approve or reject it. If the estimate is approved, Creatio automatically moves the record to the <strong>Approved<\/strong> stage based on the configured logic. Refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Accepted.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/01\/Accepted.png\" alt=\"\"><\/a><\/center><font size=\"2\"><center><i>Accepted<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Similary, if approver reject the estimate, creatio will process the record to Rejected stage.
