A great example of this is the \u201c<strong>Send Email<\/strong>\u201d element in business processes. With just the right configuration, you can trigger emails automatically.<\/p>\n\n\n\n<p>In real business scenarios, communication rarely exists in isolation. Emails are meaningful because they relate to customers, deals, cases, or other records already stored in the system. That\u2019s where auto-linking emails to existing records becomes incredibly useful it keeps conversations organized, provides full context, and helps teams stay aligned without manual effort.<\/p>\n\n\n\n<p>Creatio automatically links emails to account or contacts based on the email addresses used in \u201cTo\u201d field. In this blog, we\u2019ll walk through how you can make sure those emails are automatically connected to the other records in your system:<\/p>\n\n\n\n<p>Consider an example, when email is sent out to customer once job is signed off along with customer, we want this communication to be filed against job\u2019s record as well.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Create new business process and add \u201cSend Email\u201d element to it.<\/li>\n\n\n\n<li>Set To and From fields. Make sure the email accounts are already configured in the system, otherwise the email will not send. If you haven\u2019t set up email accounts yet, refer to your email setup guides.<br><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/2025\/12\/02\/email-setup-in-creatio-for-windows-on-premise-environments\/\">https:\/\/www.greytrix.com\/blogs\/creatio\/2025\/12\/02\/email-setup-in-creatio-for-windows-on-premise-environments\/<\/a><br><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/2025\/10\/09\/how-to-set-up-incoming-outgoing-email-in-creatio-online\/\">https:\/\/www.greytrix.com\/blogs\/creatio\/2025\/10\/09\/how-to-set-up-incoming-outgoing-email-in-creatio-online\/<\/a><\/li>\n\n\n\n<li>In the <strong>\u201cWhat is the message?\u201d<\/strong> field, select <strong>\u201cTemplate message,\u201d<\/strong> this lets you choose one of your pre-configured email templates. Choose the entity you want to link the email to and click <strong>Save<\/strong>. For example, if you want the email to be linked to a <strong>Job<\/strong> record, select <strong>Job<\/strong>. Refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/02\/Select-connection.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/02\/Select-connection.png\" alt=\"Select connection\"><\/a><\/center><font size=\"2\"><center><i>Select connection<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Once clicked on Save, your entity will be added to \u201cEmail connection\u201d field, refer below:<\/li>\n<\/ul>\n\n\n\n<center><a href=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/02\/Img-3.png\" target=\"_blank\" rel=\"noreferrer noopener\"><img decoding=\"async\" class=\"size-full\" style=\"border: 1px solid #A9A9A9; padding: 2px; margin: 15px; align: center;\" src=\"https:\/\/www.greytrix.com\/blogs\/creatio\/wp-content\/uploads\/2026\/02\/Img-3.png\" alt=\"Custom Field\"><\/a><\/center><font size=\"2\"><center><i>Custom Field<\/i><\/center><\/font>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Now you need to tell the system which specific record to link the email with. Click the <strong>lightning icon<\/strong> next to the field. You\u2019ll see several ways to provide the value:<br><strong>Process parameters:<\/strong> Use this if the value is coming from your process data.<br><strong>Lookup value:<\/strong> This gives the list of records in selected entity. Like we have selected Job, so it will provide me with list of Jobs record in system. If you want to attach communication to static record this option can be used.<br><strong>System settings: <\/strong>Select a value from system configuration.<br><strong>Formula: <\/strong>Enter a dynamic value using logic or expressions.<\/li>\n\n\n\n<li>As my record value is there in my Process parameter, we have selected \u201cProcess parameters\u201d option. On click of this option a \u201cSelect parameter\u201d window will be opened with all the process elementes and parameters. We want record Id, so we will select the Id parameter from list and click on SELECT.
