Global warming and Go Green being need of the hour. Without printing the documents on the paper, Sage 300 introduced a new feature which supports SMTP email feature. As in today\u2019s business, the need for efficient communication and organized documentation electronic emailing feature has proven to be very helpful means for achieving the same.<\/p>\n

<\/p>\n

In today’s blog, we will be discussing the helpful feature of Sage 300 ERP that has been included in Sage 300 v2017 PU2 for the classic desktop as well web screens.<\/p>\n

Navigating to the screen:<\/strong>
\nSage 300 v2017 classic desktop:<\/p>\n

In order to access the screen navigates to Common Services \u2013> Company Profile screen\u2013> Email Tab. Kindly refer to the screenshot below for the same.<\/p>\n

In order to access the screen navigates to More \u2013> Common Services \u2013> Company Profile \u2013> Email Tab. Kindly refer to the screenshot below for the same.<\/p>\n

\n\"\"<\/a>As displayed in above screenshots an additional \u201cEmail\u201d tab is provided on the Company Profile screen. A user can set or predefines below set of values which can be used in a various emailing process in Sage 300 e.g. \u201cReport \u2018.pdf\u2019 files emailing\u201d etc.<\/p>\n

Server Name:<\/strong><\/p>\n

A text field is provided where a user can enter the email sever name to be used. The format to specify the server name should be \u201csmtp. Server Name\u201d e.g. if you are using gmail server for emailing you can specify the server name as \u201csmtp.gmail.com\u201d.<\/p>\n

Server Port:<\/strong><\/p>\n

Here user needs to specify the port to be used for sending email. The default value is 587, but you can change it.
\nIt is recommended using Port 587 while using SMTP services with (send grip) to avoid potential rate limiting or blocking. Port 465 can also be used but SSL should be set to true.<\/p>\n

Use SSL:<\/strong><\/p>\n

The default value for this is \u201cYes\u201d. A user can at any time change it as per requirement. It is recommended to make changes in these settings with the help of \u201cSMTP Server Documentation\u201d or consult the IT professional as this settings affects data encryption and authentication.<\/p>\n

User Name:<\/strong>\u00a0 Enter the username for the SMTP server to be used when sending email as a form email account i.e. as a sender.<\/p>\n

Password:\u00a0<\/strong>Enter the password for the email account to be used when sending email as a from email account i.e. as a sender.<\/p>\n

From Email Address:\u00a0<\/strong>Enter the email address to be used when sending email as a from email account i.e. as a sender.<\/p>\n

Note<\/strong>: Depending on the SMTP server you use, this address may need to match the one you enter in the Username field, or may not work unless you set up an email alias. Consult your SMTP server documentation for details about sending an email.<\/p>\n

Use SMTP:\u00a0<\/strong>User needs to select this option i.e. to need to set this checkbox checked if a user is going to user SMTP services for email sending otherwise clear the selection if a user is going to a user other than SMTP services i.e. Microsoft outlook etc.<\/p>\n

To:\u00a0<\/strong>Here user need to specify the \u2018To\u2019 email id for the test email.<\/p>\n

This tab allows a user to set default SMTP email settings that will be used when a user selects Email option while printing various documents (reports).<\/p>\n

Note:\u00a0<\/strong>User can able to change these settings at any time.<\/em><\/p>\n

Active internet connection is needed while using these settings made for a successful emailing process. A user can be able to verify the settings made are proper or not by sending a test email from this screen. Please find below screenshot for reference:<\/p>\n

\n\"\"<\/a><\/p>\n

If the settings are not proper, test email will not be sent to the email account specified in \u201cTo\u201d and the error message will appear on the screen. Please refer to screenshot below:<\/p>\n

In the case of \u201cSage 300 2017 classic desktop\u201d, the functionality will work same as above.<\/p>\n
