With the release of new Sage 300 version new Security feature implemented in GL Accounts setup. This security will allow restricting the access of particular GL account to Sage 300 users. It helps to maintain the confidentiality of GL Accounts i.e. bank Account, Payroll account etc. and it will also minimize the risk of unauthorized activity.<\/p>\n

1. To Activate GL Account security, Navigate to the General Ledger GL Setup -> Options.\u00a0\"\"<\/a><\/p>\n

2. Open GL Option screen, Go to Account Tab, Check the checkbox of \u201cUse G\/L security\u201d. Once user check this option one field will get enable on screen as \u201c Default Access\u201d. Select All Account from dropdown list and save the record. After saving this record user need to logout the sage 300 and login again to activate the Account Permissions in GL Account.<\/p>\n

You can see in below screenshot there is no Account permission screen is present before logging out the sage 300 so to activate this security user need to re-login the sage 300.<\/p>\n

3. After Re-login the sage 300 user can check the new addition of security screen in GL Accounts.<\/p>\n

4. Open \u201cAccount Permissions\u201d screen and enter or select the User ID to whom you want to restrict the particular GL accounts. The permissions per user can be set by segment or by account.\u00a0\u00a0If the default in GL Options is set to \u2018All Accounts\u2019, enter accounts or segments that the user should not be allowed to access.\u00a0\u00a0If the default is set to \u2018No Accounts\u2019, enter accounts or segments that the user should be allowed to access.<\/p>\n

Here we restricted Account number 1000-1022 for the user \u201cTEST\u201d. Once these new permissions have been saved, the user will not be able to see the affected GL accounts in any screen, including finders.\u00a0\u00a0If user manually type GL account number that user don\u2019t have permissions for, an error message will be displayed\u00a0as \u201cYou are not allowed to retrieve Account\u201d.<\/p>\n

5. Login Sage 300 through restricted user i.e. here we are login sage 300 using \u201cTEST\u201d user and open any screen and select the restricted GL account. You can check below the GL Account 1000-1022 is not even list out in finder as well if user tries to enter it manually then system is showing restriction message.\u00a0\"Details\"<\/a><\/p>\n
