Invoices can then be automatically transferred to Accounts Payable. Purchase orders can be automatically created for items on sales orders in Order Entry and could be shipped from vendor to customer. Item can be used for internal consumption or for Company production. Purchase requisition document contains item no., item description, qty., vendor etc.<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">Based on Purchase requisition, authorized person or dept. will make a purchase order.<\/p>\n<p style=\"text-align: justify;\">Hence to create Purchase Requisition in Sage 300 ERP, navigate to Sage 300 &gt;&gt; Purchase Order &gt;&gt;PO Transaction &gt;&gt; Requisition Entry and select Vendor Number, Requisition Date, Date Required, Expiration Date, item no, quantity ordered etc.<\/p>\n<p style=\"text-align: justify;\">In this example, we have taken item no \u201cA1-103\/0 (Fluorescent Desk Lamp)\u201d, ordered quantity \u201c10\u201d, vendor \u201c1450\u201d, requested by \u201cMr. Ronald Black\u201d.<\/p>\n<p style=\"text-align: justify;\">Based on PO requisition, we can create Purchase Order after posting P\/O Requisition Entry.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/2.-PO-Requisition-Entry.png\" target=\"_blank\" rel=\"noopener\"><img decoding=\"async\" class=\"aligncenter wp-image-2563\" src=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/2.-PO-Requisition-Entry.png\" alt=\"\" width=\"529\" height=\"371\" \/><\/a><\/p>\n<ol start=\"2\">\n<li style=\"text-align: justify;\"><strong>P\/O Purchase Order Entry: <\/strong>Purchase order (PO) is a commercial document issued by Buyer to Seller. PO Entry includes details like vendor Info, item no &amp; description, ordered quantity, unit cost, etc. We can either create purchase order directly or based on PO requisition.<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">To Create purchase Order Entry, navigate to Sage 300 &gt;&gt;Purchase Order &gt;&gt;PO Transaction &gt;&gt;Purchase Order Entry and select Vendor Number, PO date, Item No., Location, Quantity ordered, unit cost etc. to create PO Entry directly from PO Screen.<\/p>\n<p style=\"text-align: left;\">As we have already created a Requisition entry\u201cPOREQ090113\u201d in the above example, we would be using the same for creating Purchase Order. Hence, we would click on \u201cFrom Requisition\u201d checkbox and system will automatically populate data from PO requisition selected.<\/p>\n<p style=\"text-align: justify;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/3.-PO-Purchase-Order-Entry.png\" target=\"_blank\" rel=\"noopener\"><img decoding=\"async\" class=\"aligncenter wp-image-2564\" src=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/3.-PO-Purchase-Order-Entry.png\" alt=\"\" width=\"511\" height=\"381\" \/><\/a><\/p>\n<p style=\"text-align: justify;\">After Posting Purchase Order Entry, we can create Purchase Receipt Entry.<\/p>\n<p style=\"text-align: justify;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/4.-PO-Purchase-Order-Entry.png\" target=\"_blank\" rel=\"noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2565\" src=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/4.-PO-Purchase-Order-Entry.png\" alt=\"\" width=\"543\" height=\"281\" \/><\/a><\/p>\n<ol start=\"3\">\n<li style=\"text-align: justify;\"><strong>P\/O Receipt Entry:<\/strong> A Receipt Entry is a written acknowledgment that shows the Total Number of goods Received [A receipt records the purchase of goods or service].<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">To Create P\/O Receipt Entry, navigate to Sage 300 &gt;&gt; Purchase Order &gt;&gt;PO Transaction &gt;&gt;Receipt Entry and select Vendor Number and PO Number. After selecting PO Number, the system will automatically populate data like Item Number, Item Description, location etc. from Purchase Order.<\/p>\n<p style=\"text-align: justify;\">Here, if we want to receive all the quantity at once, then we would click on \u201cReceive All\u201d button, this system will automatically set full quantity in quantity received column.<\/p>\n<p style=\"text-align: justify;\"><strong>Note:<\/strong> If we want to receive partial quantity, then we can enter partial quantity in quantity received column.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/5.-PO-Receipt-Entry.png\" target=\"_blank\" rel=\"noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2566\" src=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/5.-PO-Receipt-Entry.png\" alt=\"\" width=\"543\" height=\"298\" \/><\/a><\/p>\n<ol start=\"4\">\n<li style=\"text-align: justify;\"><strong>PO Invoice Entry: <\/strong>PO Invoice is a commercial document issued by Vendor to its Buyer, it includes PO Receipt Number, PO Number, Invoice date, Invoice total, Item No, and Quantity invoiced Unit cost etc.<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">To Create P\/O Invoice Entry, Navigate to Sage 300 &gt;&gt;Purchase Order &gt;&gt;PO Transaction &gt;&gt; Invoice Entry and Select Receipt Number (In our case \u201cPORCP090113\u201d) and system automatically populates data in P\/O Invoice screen.<\/p>\n<p style=\"text-align: justify;\"><strong>Note<\/strong>: We can create Invoice of Partial Quantity by entering partial qty. in column \u201cQuantity Invoiced\u201d.<\/p>\n<p style=\"text-align: justify;\">Once Invoice is confirmed, we can Post Invoice Entry and can create Payment entry by A\/P payment entry.<\/p>\n<p style=\"text-align: justify;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/6.-PO-Invoice-Entry.png\" target=\"_blank\" rel=\"noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2567\" src=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/6.-PO-Invoice-Entry.png\" alt=\"\" width=\"467\" height=\"333\" \/><\/a><\/p>\n<p style=\"text-align: justify;\">Say once we received the Items that we had Ordered; but there are some items, which were damaged. Thus now we want to return them to a vendor, as a result, we would require creating a Return Entry for the same in Sage 300 ERP.<\/p>\n<ol start=\"5\">\n<li style=\"text-align: justify;\"><strong>PO Return Entry: <\/strong>Return Entry is a document, which is used by buyers to returns goods to its vendor in case, the received item\/goods are expired, damaged or received qty. is more than ordered qty.<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">To Create P\/O Return Entry in Sage 300 ERP, navigate to Sage 300 &gt;&gt; Purchase Order &gt;&gt;PO Transaction &gt;&gt;Return Entry and select Receipt number, system will automatically populate all the data filled i.e. Vendor Number \u201c1450\u201d, Item Number \u201cA1-103\/0\u201d, item description, item unit cost etc.<\/p>\n<p style=\"text-align: justify;\"><strong>Note: <\/strong>If User wants to return Partial Quantity then fill in the quantity to be returned in \u201c<strong>Quantity Retuned<\/strong>\u201d field or can return all by clicking on \u201c<strong>Return All<\/strong>\u201d button<strong>.<\/strong><\/p>\n<p style=\"text-align: justify;\">After data is filled click on <strong>Post<\/strong> button to post the transaction. Credit Note will be created with reference to P\/O return Entry<\/p>\n<p style=\"text-align: left;\">To Create Credit Note Entry<strong>,\u00a0<\/strong>navigate to Purchase Order&gt;&gt;P\/O Transactions&gt;&gt;Credit\/Debit Note Entry and select Return Number (in our case \u201cRET0000004\u201d). After selecting Return Number, the system will populate vendor number\u201d1450\u201d, item number \u201cA1-103\/0\u201d, item description, unit cost etc. Now click on post and system will create credit note.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/9.-PO-CreditDebit-Note-Entry.png\" target=\"_blank\" rel=\"noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2570\" src=\"https:\/\/www.greytrix.com\/blogs\/sageaccpacerp\/wp-content\/uploads\/2013\/02\/9.-PO-CreditDebit-Note-Entry.png\" alt=\"\" width=\"578\" height=\"309\" \/><\/a><\/p>\n<p style=\"text-align: justify;\"><strong>Debit Note<\/strong>: Debit note is raised in a number of cases as given below;<\/p>\n<ol>\n<li style=\"text-align: justify;\">If excess Material received in qty.<\/li>\n<li style=\"text-align: justify;\">If excess rate charged by the party.<\/li>\n<li style=\"text-align: justify;\">If anything which is not mentioned in the purchase order is charged by a party in invoice like Freight \/ Loading &#8211; Unloading expense etc.<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">To Create Debit Note Entry, navigate to Purchase Order&gt;&gt;P\/O Transactions&gt;&gt;Credit\/Debit Note Entry.
