We can generate Letters, Quotations on the fly on predefined word templates. The question is how you can create and use the merge templates. I remember I had discussed the old way of doing it by using the Local Document feature in old version. Rather we have a new \u201cMail Merge\u201d button available.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/19.jpg\" target=\"_blank\"><img fetchpriority=\"high\" decoding=\"async\" class=\"aligncenter  wp-image-5782\" alt=\"1\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/19.jpg\" width=\"253\" height=\"300\" \/><\/a><\/p>\n<p>Clicking this button takes you to the screen where Local templates added to Shared Documents are available for Merge. You also have option to Create HTML templates using \u201cCreate Template\u201d button and Add Local Template option to add local merge template if you have created one.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/28.jpg\" target=\"_blank\"><img decoding=\"async\" class=\"aligncenter  wp-image-5783\" alt=\"2\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/28.jpg\" width=\"106\" height=\"133\" \/><\/a><\/p>\n<p>Now before uploading Local template, let us understand how to create one. Suppose I want to create a document named <b>Welcome letter,<\/b> so that being in the person context I can merge it and send to customer. Here is how we can create template.<br \/>\n1. Open <b>Microsoft Word<\/b>.<br \/>\n2. Let us add in some content to letter.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/34.jpg\" target=\"_blank\"><img decoding=\"async\" class=\"aligncenter  wp-image-5784\" alt=\"3\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/34-1024x581.jpg\" width=\"417\" height=\"236\" \/><\/a><\/p>\n<p>Now you will think why letter doesn\u2019t have recipient name and senders name at end? Well this is what I want to be populated from CRM dynamically. So let us go ahead and add some merge fields.<br \/>\n3. From the <b>Insert<\/b> Menu, under <b>Text<\/b> section select <b>Quick Parts<\/b> and <b>Fields<\/b> option.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/4_1.jpg\" target=\"_blank\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter  wp-image-5792\" alt=\"4_1\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/4_1-1024x331.jpg\" width=\"417\" height=\"134\" \/><\/a><\/p>\n<p style=\"text-align: center;\">\u00a0<\/p>\n<p>4. On the box that pops up select <b>MergeField<\/b> option under field names. Enter the merge field name you want to print. This field name should match the field in <b>vMailMerge<\/b> view under Person entity. Similarly add other fields.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/51.jpg\" target=\"_blank\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter  wp-image-5786\" alt=\"5\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/51.jpg\" width=\"482\" height=\"320\" \/><\/a><\/p>\n<p>5. Once you are done adding all the fields template will look like follows.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/61.jpg\" target=\"_blank\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter  wp-image-5787\" alt=\"6\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/61-1024x450.jpg\" width=\"417\" height=\"183\" \/><\/a><\/p>\n<p>6. Save this template on local drive as <b>Welcome Letter Template<\/b>. You can save it in .doc or .docx format.<br \/>\n7. Now as explained above go to Person context of any person and click on <b>MailMerge<\/b> button under <b>New<\/b> menu. Then click on the <b>Add Local Template\/Image<\/b> button. On the window that appears select the template we had created. Select Entity as <b>Person<\/b> and Type as <b>Letter<\/b>.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/71.jpg\" target=\"_blank\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter  wp-image-5788\" alt=\"7\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/71-1024x319.jpg\" width=\"417\" height=\"130\" \/><\/a><\/p>\n<p>Once all the details are entered, click <b>Save<\/b> button.<br \/>\n8. Now again go to person context and select <b>MailMerge<\/b> button under <b>New<\/b> menu. You will see your template listed.<\/p>\n<p style=\"text-align: center;\"><a href=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/81.jpg\" target=\"_blank\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter  wp-image-5789\" alt=\"8\" src=\"https:\/\/www.greytrix.com\/blogs\/sagecrm\/wp-content\/uploads\/2013\/11\/81.jpg\" width=\"493\" height=\"159\" \/><\/a><\/p>\n<p>9. Select the template and click on <b>Preview Merge<\/b> button that appears.
