Duties, freight, insurance and handling show up on separate invoices, often weeks after the goods land, and until they are booked, your inventory value, cost of goods sold and product margin are all built on a number that is already out of date.

Sage Intacct has a built-in answer in its Landed Costs workflow. You post an estimate of those costs with the purchase, and the actual invoice replaces it when it arrives, so your item cost reflects the full acquisition cost much sooner. The catch is that it does not configure itself. It depends on how your implementation partner set up Inventory Control and Purchasing.

In this article, we will look at the gap, walk through how the process works in Sage Intacct, show what changes in your numbers, and give you six questions to put to your partner.

Understanding Sage Intacct Landed Costs for Manufacturers

Picture a discrete manufacturer of precision assemblies (an illustrative example) that receives $100,000 of imported components against a purchase order. The goods are received, costed at the PO price and issued to production. Six weeks later, the customs and freight invoices arrive and add $14,000 to what those components really cost. By then, some of the stock has been consumed, some has shipped inside finished goods, and the month has closed.

The Gap Between Receipt and the Duty Invoice

Your finance team makes a manual adjustment, usually in a spreadsheet, and the margin report leadership relied on turns out to have been optimistic. It matters more now than it did a few years ago.

In Rootstock’s 2026 manufacturing survey, 39% of manufacturers expected higher raw material or component costs because of tariffs, and 29% expected cost forecasting to get harder. When your inputs move that often, a costing process that waits for the last invoice is always looking backwards. That is all the time we will spend on the problem. The rest of this article is about the fix.

How Landed Costs Work in Sage Intacct

Sage Intacct uses the term landed costs for the extra acquisition expenses that affect inventory valuation. To use the feature, you need subscriptions to both Inventory Control and Purchasing. With those in place, the process runs in a clear sequence.

Day 0, the goods arrive. Your team posts an estimate for each expected cost and picks how it is spread across the items: count, value, volume or weight. Value suits duties, which are typically charged on shipment value; freight may suit weight or volume. When the goods invoice posts, Sage Intacct raises item value by the estimate automatically.

Day 42, or whenever the real invoice lands. Your team enters the actual cost and links it to the original purchase. Sage Intacct spreads it by the same method, adds it to item valuation and removes the estimate, using two inventory adjustments so the correction is traceable rather than a month-end lump sum. Estimates are optional, but they are what brings cost visibility forward.

Before your first shipment, three things to set up:

Landed cost items: non-inventory items for freight, insurance, duties or handling.

Landed cost categories: how the cost is spread: count, value, volume or weight.

Enabled items: only items enabled and active for the category’s method receive an allocation.

Where the feature stops. Landed costs allocate the costs your team enters; tariff classification and duty rates still come from your customs broker. A good design names who enters estimates, how often they are refreshed and who signs off on variances.

What Changes in the Numbers

The benefit is not a new report. It is that the reports you already use start from a more truthful cost.

Item cost reflects the full acquisition cost earlier. Inventory valuation and cost of goods sold include freight and duties rather than waiting for a month-end adjustment.

Margin by product is visible while decisions are still open. If duties move a product’s cost, finance sees it as the purchase posts, not after the quarter closes.

Pricing and surcharge decisions rest on current cost. Many manufacturers are responding to tariffs with targeted surcharges or price changes. Those decisions are only as sound as the cost they reference.

Estimate-to-actual variance becomes a controlled event. The difference between what you expected and what you paid is recorded against the original purchase, with the audit trail Sage Intacct keeps for transactions, instead of living in a spreadsheet.

How Wide Is Your Duty Gap?

Running a check on your own data requires one shipment and your own records, and it shows how far your books trail reality. Take your most recent imported shipment and note three readings:

Cost at receipt. The unit cost your system held when the goods were received and issued to production.

Cost after the invoices. The unit cost once the duty, freight and handling invoices were booked.

Days in between. The gap from receipt to the last of those invoices.

Multiply the difference between the first two readings by the units already consumed or sold in that window. That is your duty gap

Then ask your partner to prove the fix. In a live Sage Intacct environment, ask to see:

A purchase with an estimated landed cost posted, and item value raised by that estimate.

The matching actual, linked to the estimate, with the two inventory adjustments it created.

An item that is not enabled for the category, and what that does to its allocation (it receives none).

Who entered the estimate and who approved the variance.

Ask your partner to walk you through it against your own bill of materials before you assume a result.

How Greytrix Helps Manufacturers Implement Sage Intacct

Some things should stay with people.
