E-Invoicing and E-Way Bill generation have become an integral part of GST compliance for businesses in India. Sage X3<\/a> already simplifies this process by allowing users to generate the Invoice Reference Number (IRN) through the E-Invoice button and create an E-Way Bill using the E-Way Bill button directly from the Sales Invoice screen.<\/p>\n\n\n\n

To make post-generation activities even more efficient, we have introduced several new features that provide greater flexibility in managing E-Invoices and E-Way Bills without leaving Sage X3.<\/p>\n\n\n\n

What’s New?<\/strong><\/p>\n\n\n\n

The latest enhancement adds the following capabilities:<\/p>\n\n\n\n

  1. Cancel E-Invoice<\/li>\n\n\n\n
  2. Extend E-Way Bill Validity<\/li>\n\n\n\n
  3. Update E-Way Bill<\/li>\n\n\n\n
  4. Print E-Way Bill<\/li>\n\n\n\n
  5. Cancel E-Way Bill
    In the following sections, we will explore each of these new features in detail, including their functionality, use cases, and the steps to perform each operation within Sage X3.<\/li>\n<\/ol>\n\n\n\n

    Cancel E-Invoice<\/strong><\/p>\n\n\n\n

    We have provided a “Cancel E-Invoice”<\/strong> option on the Sales Invoice<\/strong> screen. This button is enabled only after the IRN Number<\/strong> has been generated for the invoice, as shown in the screenshot below.<\/p>\n\n\n\n

    After clicking the “Cancel E-Invoice”<\/strong> button, the E-Invoice status<\/strong> is changed to “Cancelled”<\/strong>, as shown in the screenshot below:<\/p>\n\n\n\n

    Once an E-Invoice has been cancelled, it cannot be regenerated for the same invoice. To generate a new IRN, the user must create a duplicate Sales Invoice, as a unique IRN Number is generated for each invoice.<\/p>\n\n\n\n

    Extend E-way Bill Validity<\/strong><\/p>\n\n\n\n

    The validity depends on the distance the goods travel. Generally, for regular cargo, the validity increases with the distance covered (as prescribed by GST rules).<\/p>\n\n\n\n

    We have provided an option to extend the validity of the E-Way Bill<\/strong> if the goods cannot reach the destination within the original validity period. This option is enabled only after the E-Way Bill has been generated.<\/p>\n\n\n\n

    As shown in the screenshot above, the user must enter all the required details for the extension and then click the “Extend E-Way Bill Validity” <\/strong>button.<\/p>\n\n\n\n

    Please note that the E-Way Bill validity can only be extended within the permitted time window. An E-Way Bill can be extended up to 8 hours before its expiry or within 8 hours after its expiry<\/strong>. Therefore, the extension option will not be available outside this period.<\/p>\n\n\n\n

    As shown in above screenshot, we have successfully extended the E-way Bill validity. Extension is granted based on the remaining distance <\/strong>entered.<\/p>\n\n\n\n

    Update E-way Bill<\/strong><\/p>\n\n\n\n

    We have provided options to update the E-Way Bill in cases where incorrect details were entered during generation. If the user needs to modify certain information after the E-Way Bill has been generated, the following options can be used:<\/p>\n\n\n\n

    1. Update Part B<\/strong><\/li>\n\n\n\n
    2. Update Transporter<\/strong><\/li>\n<\/ol>\n\n\n\n

      These options allow the user to update the applicable E-Way Bill details as permitted by the E-Way Bill regulations after the E-Way Bill has been successfully generated.<\/p>\n\n\n\n

      The user can modify the vehicle number<\/strong> as required and then click the “Update Part B” <\/strong>button. And when the user wants to modify the transport details<\/strong> he needs to click on “Update Transporter” <\/strong>button. To update Transporter details, we have added required fields below carrier field on Sales Invoice screen.<\/p>\n\n\n\n

      Once the update is successfully processed, the E-Way Bill Status <\/strong>is changed to “SUCCESS – Update”<\/strong>, and the date and time of the update<\/strong> are displayed in the system.<\/p>\n\n\n\n

      Print E-way Bill<\/strong><\/p>\n\n\n\n

      Once the E-Way Bill has been generated successfully, the system enables the “Print E-Way Bill”<\/strong> option. The user can use this option to print the generated E-Way Bill for record-keeping and transportation purposes.<\/p>\n\n\n\n

      The E-Way Bill is printed in the format shown below.<\/p>\n\n\n\n

      Cancel E-way Bill<\/strong><\/p>\n\n\n\n

      If necessary, the user can cancel the generated E-Way Bill <\/strong>using the “Cancel E-Way Bill”<\/strong> option.<\/p>\n\n\n\n

      Upon successful cancellation, the E-Way Bill status is updated accordingly in the system.<\/p>\n\n\n\n

      Unlike E-Invoices, an E-Way Bill <\/strong>can be re-generated for the same invoice after cancellation. When the user re-generates the E-Way Bill, the system updates the generation date and time<\/strong> and assigns a new E-Way Bill Number<\/strong> to the invoice.<\/p>\n\n\n\n

      These enhancements significantly improve the E-Invoicing and E-Way Bill functionality in Sage X3 by enabling users to manage post-generation tasks efficiently.<\/p>\n\n\n\n

      This comprehensive approach helps businesses save time, improve operational efficiency, and stay compliant with GST requirements while managing their invoicing and logistics processes from a single platform.<\/p>\n\n\n\n
