Synchronizing Salesforce and Sage Intacct: Effortlessly view Promoted Accounts with GUMU™ Integration

In this blog, we will discuss one of the key features (view Promoted Accounts) of GUMU™ Integration using the new Lightning interface. This feature allows you to view existing Promoted Salesforce “Accounts” as “Customers” in the Sage Intacct ERP.

View Promoted Accounts

To use this feature and synchronize data with Sage Intacct, follow these steps:

  • Login to Salesforce.
  • Navigate to the GUMU™ Integration and click on the Account tab.
  • Click on the New button and fill in all the required information.
  • Select the Account that you have created.
  • Click on the ERP Fields tab.
  • If the Account is not promoted, a message will display: “Please link this Account with the ERP System.”

  • If the Account is not linked or promoted to a Customer record in Sage Intacct, you can promote or link the Account using the Link Account functionality in GUMU Settings. (For details on promoting an Account, refer to the Sage Intacct blog here).
  • Once an Account is promoted, it becomes a new record in Sage Intacct ERP.
  • The ERP Fields tab will now be divided into two sections:
    • ERP Fields
    • Refresh ERP Data

SECTION I : ERP Fields

After promoting the Account to Sage Intacct, the following fields will be displayed and the user can view Promoted Accounts:

  • Location Entity ID
  • Customer Number
  • Integration Key
  • External UID

SECTION II : Refreshed ERP Data

The Refresh ERP Data functionality compares the data between Sage Intacct ERP and Salesforce and verify details through a view Promoted Accounts. If any discrepancies are found, it updates the fields in Salesforce based on real-time changes.

Again, there are two scenarios to consider for this feature:
● If the data matches
● If the data is mismatched

SCENARIO I : If the ERP data matches

If there is no mismatch in the data then a label along with the Preview button will be displayed.

Upon clicking the Preview Button, a modal will appear, enabling the user to view the data of both the Salesforce and Sage Intacct ERP, below screenshot depicts the precise representation of the screen that appears when the user clicks on the Preview button.

SCENARIO II: If the data is mismatched

If there is a discrepancy in the data, a label will be shown alongside the Preview button and Sync button and user can view Promoted Accounts details.

Upon clicking the Preview button, a modal appears displaying the data from both the Salesforce and Sage Intacct ERP. Clicking on Sync thereafter synchronizes any mismatched Salesforce data with the corresponding data in Sage Intacct ERP.

Mismatched data will be highlighted, facilitating easy identification for the user. The below screenshot provides an accurate depiction of the screen that appears when the user clicks on the Preview Button. The Sync Button will also available on this screen.
