Validations for Customer PO Reference on Sage CRM Orders Screen

The GUMU™ for Sage CRM – Sage 100 Integration is a real-time, bi-directional link that seamlessly connects Sage CRM and Sage 100 where users can view customers, vendors and sales information from either of the systems Sage CRM to Sage 100 and vice versa.

In this blog, we discuss a recent customization implemented for a client who required validation controls for the Customer PO Reference field while creating or editing Orders in Sage CRM.

The client wanted to prevent duplicate Customer PO references during Order creation or modification.
Specifically, they required:

  • Real-time validation when a user enters a value in the Customer PO Reference field.
  • Notification messages to appear immediately (before saving the Order).
  • Alerts to help users avoid duplicate PO references across Orders.

The validation needed to trigger directly on the Order Summary screen, ensuring proactive data verification.

To address this requirement, we implemented real-time validation logic that triggers as soon as a user enters a PO reference while creating or editing a Sage CRM Order.
The system displays notification messages based on the following conditions:

  1. If the entered PO Reference is new
    • If the PO number has not been used in any previous Order, the system displays:
      “The PO Number is valid.”
  2. If the entered PO Reference already exists
    • If the PO number has been used in an earlier Order, the system displays:
      “This PO Number has already been used in a previous order. Confirm this is not a duplicate order.”

With instant validation:

  • Users can immediately verify the uniqueness of Customer PO references.
  • The risk of duplicate Orders is minimized.
  • Organizations gain better tracking and traceability of PO references.
  • Overall data accuracy and operational efficiency are improved.

By introducing proactive validation at the data entry stage, this enhancement strengthens Order management processes within Sage CRM while maintaining data integrity across the system.
