Make the maximum out of Library functionality in CRM

Sage CRM has provided a very efficient way of dealing with all the documents related with entities through the Library functionality. The functionality is very simple and straight forward for day to day use where in you can upload your documents related to particular entity record from the documents tab against an entity. We can also easily navigate to that document and edit or view it according to requirement.

Well, Greytrix decided to further modify this functionality in order to make maximum out of it with little bit extra additions and use of some out of box tricky concepts. Some of them are as mentioned below.

Edit Final Document

While creating new document under Documents tab CRM allows setting the status of the document to be either Draft or Final from Status field.

Now, if the document is assigned a status of Draft then you can edit it even after saving the records as you can go to that record from documents tab. Here you will see the two buttons named View Attachment and Edit Attachment as shown below.

This is not the case with the Final document as you will not be able to see the Edit Attachment button if the status of the record is set to be Final. The component designed by Greytrix allows editing the Final documents as that of the Draft ones.

Revised copy of the document after editing

Now, why would one require editing Final documents? Let’s make it very interesting. Suppose, you require editing a final document also and want to save the edited document as a Revised copy. Draft allows this functionality, but it saves changes to the original document. Our component allows doing this by saving a separate copy of the document edited as Revised one with the date and time of edition under library if status of the document is set to Final.

With little bit extra coding and some tricky concepts we can further combine the features of the Document merge and Library functionality together to make document merging task quite simple. For example, the scenario would be to generate a merged document against opportunity from Opportunity summary screen with the simple button, save it in the library and automatically open it from there.

Everyone would definitely like to have such enhanced functionality in CRM for proper handling of the documents.
