Enhance your Data Security: Master GUMU’s ‘Restrict and Grant Field Access’ on the Sales Order screen

This blog explores a key feature of GUMU™ Integration within the Lightning interface: Enhancing data security through the ‘Restrict and Grant Field Access’ feature on the Sales Order screen. This feature empowers users to set default values for the product line and control field visibility based on specific Users and Profiles, ensuring that only authorized individuals can access certain data.

Configure Restrict and Grant Field Access

We’ll walk through the steps to implement the Restrict and Grant Field Access feature, ensuring better security for your data:

  • Log in to Salesforce org. Navigate to Setup and search for the Custom Settings.
  • Click Manage next to ERP Configuration, then click Edit beside your chosen ERP.
  • Click the “Enable Quick Line Entry” checkbox.

  • Click on the “Sales Order” tab where you can either create a new Sales Order or view an existing record promoted as a Sales Order to Sage X3 ERP. Promote Sales Order from SF to Sage X3 ERP through GUMU™ using Salesforce Lightning Components
  • Next, go to the Order Lines tab and click on Settings to configure the Restrict and Grant Field Access feature.

  • If a Profile is selected along with the Product Description field, and the Toggle button is set to “Not Visible” for the System Administrator, the System Administrator will no longer be able to view the Product Description field in the Quick Line Entry and configure the Restrict and Grant Field Access feature.

  • Similarly, if a user is selected and the Product Description field is chosen, clicking the Toggle button to set it as not visible for that specific User will prevent them from seeing the Product Description field on the Quick Line Entry.

  • To implement and configure the Restrict and Grant Field Access feature, make sure a Profile is selected and the Quantity field is chosen, entering a value of 3 in the Default Value section will set the default quantity to 3.

  • When the user clicks on “Add Row” in the Quick Line Entry (QLE), the Quantity field is automatically populated with a default value of 3, thus the configuration of the Restrict and Grant Field Access feature comes into play.
  • Similarly, if a user is selected and the Quantity field is chosen, the specified user will have the default value set to 3, which will be visible in the Quick Line Entry (QLE).

The same steps can be applied to Users as well.
