In this blog, we’ll explore one of the key features of GUMU™ Integration of using the new Lightning interface. This feature allows you to view the information of an existing Promoted “Account” in Salesforce as a “Customer” in the Sage 300 ERP System.
Viewing Promoted Accounts made Easy with GUMU
With this feature, viewing promoted accounts made easy for users and can view and synchronize data related to Sage 300. Follow the steps outlined below:
- Login to Salesforce.
- Navigate to GUMU™ Integration and click on the Account tab.
- Next, click on the New button and fill all the required information.
- Select the Account that you have created.
- Click on the ERP Addresses and Fields tab.
- If the Account is not promoted, a message will be displayed, “Please link this Account with the ERP”.
- If the Account is not linked or promoted to a Customer record in Sage 300, you can promote or link the Account using the Link Account functionality in GUMU Settings. For detailed instructions on how to promote an Account, please refer to the Sage 300 blog here).
- Once an Account is promoted it becomes a new record in Sage 300 ERP.
- The ERP Fields tab will now be divided into two sections :
- ERP Fields
- Refresh ERP Data
Section 1: ERP Fields
After promoting the Account to Sage 300, the following fields will be displayed:
- Customer No.
- Category
- Tax Group
- Fax
- Integration Key
- External UID
Section 2: Refresh ERP Data
Refresh ERP Data is the functionality which compares the Sage300 ERP-SF data and if there is any mismatch between the data then it updates the fields in Salesforce on the basis of real time changes.In this feature there are two scenarios to consider:
- If the data matches
- If the data is mismatched
First Scenario: If the data matches
As shown in image, if there is no mismatch in the data then a label along with the Preview button will be displayed.
When the user clicks the Preview Button, a screen will pop up displaying the data from both Salesforce and Sage 300 ERP. Below image shows exactly what this screen looks like.
Second Scenario: If the data is mismatched
If there is a data mismatch, a label, along with the Preview and Sync buttons, will be displayed. Clicking on the Preview button will open a pop-up displaying the data from Salesforce and Sage 300 ERP. Clicking on the Sync button will synchronize the mismatched Salesforce data with the Sage 300 ERP data.
When the user clicks the Preview Button, a pop-up will appear displaying the data from Salesforce and Sage 300 ERP. The mismatched data will be highlighted, making it easy for the user to identify discrepancies. Below image shows exactly what this screen looks like when the user clicks the Preview Button. The Sync Button is also available on this screen.
