In today’s compliance-driven business environment, digital signatures have become essential for ensuring data authenticity, integrity, and approval transparency. One of our recent Sage 300 ERP customizations focused on embedding digital signing capabilities into key transaction forms—specifically the Purchase Order Entry screen.
Organizations working with sensitive procurement or financial data often require internal authorization before committing transactions such as purchase orders, invoices, or debit/credit notes. Traditionally, this involved paper approvals or external document workflows. Our client wanted a seamless, in-system digital signing solution directly on the Sage 300 screens.
New Stuff: API for Transfer Request Import
The goal was to Add a “Digital Signature” button on the PO Entry screen. And allow authorized users to digitally sign the PO document after review.
The signature must be securely linked to a specific transaction through the use of a Purchase Order (PO) number, ensuring that it cannot be reused or applied elsewhere. It assigns unique, user-specific digital signatures to ensure secure authentication and streamline the approval process.
The below image illustrates the digital signature customization implemented on the Purchase Order (PO) Entry screen. Once a PO order is posted, the user can preview the digitally signed report by clicking the ‘Digital Signature’ button.
Upon clicking, a report form is launched, displaying the PO document embedded with the digital signature. The user can then print the digitally signed report directly from the form, ensuring the authenticity and integrity of the document.

Customizing Sage 300 ERP to include a Digital Signature button is a practical and powerful enhancement for companies needing better controls over procurement and accounting workflows. It demonstrates how ERP systems can be adapted to modern governance requirements without disrupting user experience.
