GUMU™ Salesforce Tricks & Tips – User Controlled PDF Format of Customer Transactions on GUMU™ Real-Time Inquiry from Sage X3

In continuation of our previous blog, we have enhanced the functionality in the latest release of GUMU™ and given the User control and liberty to change the format as per their business needs through User Controlled PDF format. This feature enables Salesforce users to conveniently download Sage Customer Transaction details in the form of a PDF file while they are attending to customers’ needs in the field. We have enhanced the functionality by creating the PDF in a specific Sage format, and users also have the flexibility to customize the PDF based on their business requirements through User Controlled PDF Format.

In this blog post, we will explore the object name and field name required to create a custom PDF and the enhanced Sage X3 real-time PDF format of the existing PDF. By utilizing the real-time User Controlled PDF Format functionality, users can easily track the sales order and access related details for a specific order.

The updated User Controlled PDF format displays real-time data, meaning that all the information shown in the PDF is directly retrieved from Sage. It is organized according to the VF page layout and then converted into a PDF for the final output. The key advantage of this functionality is that any changes made in Sage will be immediately reflected in the User Controlled PDF Format of the Sales Order.

User Controlled PDF Format:

  • Log in to Salesforce Org.
  • Go to App Launcher and Search “GUMU Integration” from the app list.
  • Click on the Account tab & select the Account of your choice.
  • If the Account is already linked or promoted, you can skip the following two points and proceed to the next step in the process.
  • If the Account is not linked/promoted to a Customer record in Sage you can promote Account in Sage X3. (to check how to promote an Account you can refer to the Sage X3 blog here)
  • Once an Account is promoted and it becomes a new record in Sage, you need to create a transaction for which you will have to promote a sales order for the promoted Account. (to check how to promote Sales orders to Sage X3 you can refer to the blog here)
  • Users can view the Real-time inquiry using the below options shown in the below image. Also clicking on any of the buttons/links will redirect the user to the Real-Time information page:
  • Click on the “ERP Customer details” button.

  • Secondly, by clicking on the “Customer No” (Ex.H123) Link a real-time inquiry page will appear.
  • Click on the “Sales Order” tab, which displays the list of Sales Orders associated with the particular customer.

  • Click on the PDF you wish to download.
  • Once the PDF file has been downloaded, you can open it using a suitable PDF reader or viewer application. Upon opening the PDF, you will indeed notice the Updated PDF Format with all the real-time values of “Sage X3” embedded within it.
  • As seen below here is an example of the PDF file from our test data, with the enhanced User Controlled PDF Format.

To enhance the experience, the user is given full control of the data, wherein he has the authority to change the pdf format with his own PDF format and create a custom PDF format using VF page code and update the PDF format thus User Controlled PDF Format. The control to updated PDF format has been given to the User through a custom field in Salesforce. Users can add their VF page name for their own customized PDF. Details of which are as follows:

  • Object Name: Data_Page_Detail__c
  • Field Name: VF_Page__c
