Re-Printing Completed OE and PO Forms in Sage 300

In Sage 300 ERP, once transactions in the Order Entry (OE) and Purchase Order (PO) modules are fully completed, the system restricts users from re-printing related forms. While this control helps maintain document integrity, many organizations encounter practical situations where reprinting completed documents becomes necessary.

To address this business need, we are currently planning and working on a customization that will allow users to re-print selected OE and PO forms even after transactions are marked as completed.

What Is a “Completed Order” in Sage 300?

In the OE module, a transaction is considered completed when:

  • The shipment process is fully completed, and
  • The invoice for the order has been fully generated

Once both shipping and invoicing are finished, the order reaches a completed status in Sage 300. At this stage, the system treats the transaction as closed and, by default, restricts further document printing.

This standard control is designed to prevent changes or misuse of finalized business documents.

Challenge Faced Currently

In the Sage 300:

  • Completed OE and PO transactions cannot be re-printed
  • Users are unable to retrieve copies of important historical documents directly from the system
  • Teams often depend on manual workarounds or backend data lookups.

We are in the process of developing a customization that will allow controlled re-printing of specific documents even when transactions are fully completed.

Once implemented, users will be able to re-print:

  • Purchase Requisition
  • OE Picking Slip
  • Sales Quotation

even if the related transaction status is marked as Completed.

The planned solution is designed to ensure that:

  • No financial or quantity data is modified
  • Document history remains intact
  • Reprints reflect the original transaction details

This approach will maintain system integrity while improving document accessibility..
