Security Policies applied to Library entity with release of Sage CRM 2019 R2

Library management is a vital part of any business. Different types of documents shared within business needs to be centralized for easy access. Sage CRM has inbuilt Library Management feature which allows users to store different types of documents against different entities. These uploaded documents can be viewed in Documents tab available against entities like Company, Person, Opportunity, Communication etc. These documents are stored on the path configured in CRM and its entry is added in the Library table for reference.

Till the Sage CRM 2019 R1, there were no restrictions for viewing the documents. For e.g. User A has uploaded the Document against Company, then User B can also view the same document. Now, with the release of Sage CRM 2019 R2, Library entity is promoted to Primary entity from Secondary entity. So, we can apply security rights on the Library entity. Below is the screenshot where you can see that Library i.e. Documents entity is available in Primary Entities section.

In Sage CRM, entities are differentiated as Primary entity and Secondary entity. For Primary entities we can apply security rights and each record associated with this entity is associated with security territory. As the Library entity is accommodated in Primary entity, we can now apply security policies to this entity to restrict the control access of documents stored in Sage CRM.

Security can be applied to Shared Documents tab also. So that, important documents can be made accessible to particular users only.

Promotion of Library entity to Primary entity is only available for new installs of Sage CRM 2019 R2.
