When we configure a user, it’s vital to choose the proper user type. The type of user determines most of the functionalities that a user can access in Intacct.
Below are some points to be remembered regarding users
- User type determines the maximum of what user can see or do.
- Additionally, user’s permission controls what a user can see or do.
- Users can’t access functionalities that are not allowed to them by their user type; irrespective of their roles or permissions.
- A Users type at the highest range with options and features will determine what the user will have access to in Intacct.
- Business users are the sole user who will directly have an effect on the overall ledger.
Some user types within Sage Intacct are listed below with its specific functionalities:
1. Business:
- All level of accessibility.
- Make sure all admin (complete or up to specific limit) users are business users.
- Carries out financial transactions.
2. Employee
- View and list data, like Items and Warehouses.
- View dashboards.
- Approve bills as well as purchasing transactions.
- Run basic reports and pre-defined financial and custom reports.
- Unable to create financial transactions, such user can’t create Journals.
3. Project Manager (Subscribed to Projects)
- Similar to Employee user, with additional functionalities.
- Add a project and its subsequent tasks.
- Add a purchase order; and Run reports.
4. Platform (Available to Platform Services)
- Similar to Employee user, with additional functionalities.
- Complete access to all custom applications created through Platform Services.
5. CRM
- Used in Salesforce integration.
6. Warehouse (Available to Inventory Control subscription)
- Similar to Employee user, with additional functionalities over Order Entry, Purchasing and Inventory Control.
- Edit transactions; price and price lists entries in those price lists.
- Run standard reports.
- Able to process purchasing transactions.
- Can use warehouse transfer and restore inventory.
Assigning User Types to a user is very important to maintain the security and access controls of the features so that user doesn’t make the changes which is not the part of his/her role.
