In today’s fast-paced supply chain environment, maintaining product quality is more critical than ever. Integrating Quality Control (QC) checkpoints into our ERP system ensures that materials meet compliance standards before they reach production or the customer. One practical enhancement for manufacturing and distribution businesses using Sage X3 is to track Quality Control directly in the Goods Receipt Note (GRN) report.
The Goods Receipt Note is the first official record of materials arriving at your warehouse. However, just receiving materials isn’t enough—verifying their quality is essential to prevent defects downstream.
In Sage X3, one of our clients requested that the Quality Control be tracked in the GRN report, and we would like to suggest an enhancement regarding the Goods Receipt Note (GRN) process.
By embedding QC status into the GRN report, businesses can:
Ensure traceability from receipt to inspection.
Block non-compliant materials from entering inventory.
Provide real-time visibility of QC status to procurement, production, and QA teams.
Improve compliance with ISO, GMP, or other regulatory standards.
So, as per the client’s request, we would like to suggest the customization mentioned below.
If the Quality Control (QC) has not been completed for a particular GRN, the system should either “Restrict the GRN report from being printed” or “Allow the GRN report to be printed, but with blank content,” clearly indicating that QC has not been completed.
This measure will help ensure users are aware of pending quality checks and prevent unintentional use or processing of materials before QC approval.
Let’s examine the functionality in greater detail.
Navigate to : Purchase -> Receipt
According to this requirement, First user creates a Goods Receipt Note (GRN) entry with required details as shown in the screenshot below.

Now, as per our GRN status “Q”, we need to check whether Quality Control (QC) has been completed or not for a particular GRN. Here, in this case, it is not complete with blank “A” control status, see the screenshot below.

So, here as per conditions, the GRN report is to be printed, but with “blank” content. i.e clearly indicating that QC has not been completed, as shown in the screenshot below.

Again we can check whether Quality Control (QC) has been completed or not for a particular GRN. Now, in this case, it is completed Total 5 quantity with (Accepted) “A” control status, see the screenshot below.

Now, here as per conditions, the GRN report is to be printed,with required detail content. i.e clearly indicating that QC has been completed with as shown in the screenshot below.

Additionally, if the Quality Control (QC) is not created for even one product in a particular GRN, the report will printed as blank. If QC is completed for all products in the GRN, then only the report will print with required output.
As per above Quality Control should be tracked in GRN report customization is functioning in sage X3.
