How to Show Customer Balance on the Sales Quote Screen in Sage X3

What Was the Problem?

When sales representatives were creating quotes in Sage X3, they had no way of viewing a customer’s current account balance without switching screens. This meant that quotes — and eventually orders — were being raised for customers who already owed significant amounts.

What Was Built?

A single, read-only field was added to the Sales Quote screen in Sage X3. This field automatically displays the customer’s current account balance the moment a customer is selected on the quote.

The field is colour-coded so that sales representatives receive an instant visual signal:

  • Green — Balance is within the customer’s credit limit — all clear.
  • Orange — Balance is approaching the limit (over 80%).
  • Red — Balance has exceeded the credit limit — action may be required.

KEY POINT

The field is informational only — it does not block the sales rep from proceeding.
It simply ensures they are aware of the situation before completing the quote.

How Was It Built?

This customisation was implemented using a subprogram written on the Sales Quote screen. Here is a summary of the steps:

  • Add a new display field: A new read-only field was added to the Sales Quote header screen (GESSOH), positioned alongside the existing customer and order fields.
  • Trigger on customer selection: A script was attached to the customer code field so that every time a customer is chosen or changed on the quote, the balance field refreshes automatically.
  • Look up the balance: A sub-program queries Sage X3’s accounts receivable tables to retrieve the customer’s current open balance, filtering by company and site to handle multi-company setups correctly.
  • Apply the colour indicator: The balance is compared against the customer’s credit limit in Sage X3. The field turns green, amber, or red depending on how close to — or over — the limit the balance is.
