Integration of Infrasys POS with Sage 300 ERP

In our previous blog we explained how a typical POS-Sage 300 ERP integration works.

Now we started getting calls on different POS available in the market with its integration with Sage 300 ERP; One of the most common inquiries being Infrasys. In the current blog, we have tried listing all the different features that we have taken care of Infrasys-Sage 300 ERP integration.

Just to give a quick idea about Infrasys POS (for people who don’t know about it)

Infrasys POS

Infrasys POS is the risk-free, cost-effective and flexible POS solution for the food and beverage industry. It helps merchants streamline their business operations, save more time and effort to create market opportunities.

This is the most common POS you would find in many 3-star 5-star hotels for their front office operations and Sage 300 ERP being the system for the back office operations. It was becoming difficult for users to reconcile and audit data between the integrity of these 2 systems more specific to inventory. Keeping this in mind we have come up with this integration. Let’s have a closer look at what data integrates between these 2 systems.

Data integration

Data integration involves integrating inventory data’s residing in Infrasys POS with Sage 300 ERP and providing users with a unified view of its data. This process becomes significant in a variety of situations, which include when a single company needs to merge their databases.  Later, in this document, we have listed the techno-functional details for the integration between Sage 300 ERP and Infrasys POS.

The integration happens with a standalone application which resides on a Sage 300 ERP server.  This application has a Mapping utility which takes care of the configuration of the 2 applications (ERP and POS) along with a windows service application which takes care of the integration. Let’s have a look at how the synchronization between the Infrasys POS and Sage 300 ERP would work.

Synchronize process

The application developed is attached to a windows service that will run in the background with a pre-defined schedule. That is with a specific interval of time defined the application will scan through all the files present in the source folder for processing.  The Infrasys POS system exports the required files for processing in this source folder and the windows service will process this exported files to update the inventory in Sage 300 ERP.

Transaction process

The integration process creates 2 different transactions in Sage 300 ERP: 

  1. Inventory Control > Assembly entry
  2. Inventory Control >Internal usage entry

All the infrasys POS items wherein a recipe is involved will be defined as BOM in Sage 300 ERP, Any consumption/billing of such items would create IC Assembly entry in Sage 300 ERP and then I/C internal usage/consumption entry of the Menu item in Sage 300 ERP.

To summarize, if you own a POS and an ERP system, you could now think to integrate ERP-POS system to avoid probably serious redundancy issues. This would definitely save your time and also will assure you accuracy.  ERP alone will help, but for many retailers, it’s the integration of ERP and POS software that’s the real answer to supply and demand problems.
