How to change Product number in Sage X3

More often than not, we bump into a scenario wherein we need to change the key (code) of Masters or Transactions. In this blog we will see how to change the keys in Sage X3.
Before we go ahead to change the key, we need to make sure that the window corresponding to the master or transaction that we are about to change has the following setting:

  1. Locate the window of the Master/transaction for which we are going to change the key. For Sales order it would be ‘OITM’ window.
  2. Open the Window say ‘OITM’ from: Development -> Processes -> Windows.
  3. Go to ‘Predefined Buttons’ tab and locate ‘Key Change’ button.
  4. Set the ‘Y/N’ option to ‘Yes’ for ‘Predefined Buttons’.
  5. Finally ‘Save’ and ‘Validate’.

Now, follow the below mentioned steps to configure the change key process:

  1. Go to Development -> Utilities -> Miscellaneous -> Key change set up. This would pull up the Key change setup screen.
  2. Enter a code for this setup say ‘ITMKEYCHG’ and check the ‘Active’ box.
  3. In the grid, enter the object to which our Transaction belongs in object field, in case of Products it is ‘ITM’.
  4. Now in the, ‘Former code’ field enter the key(code) of the product that needs to be changed.
  5. In the ‘New Code’ field enter the new key for this product.
  6. Finally ‘Save’ and close the screen.

This way, you can create multiple key change objects on the same screen.
So, now let us change the keys for our Product:

  1. Go to Development -> Utilities -> Miscellaneous -> Mass Key Change.  This would pull up a window with a grid containing ‘Key Change code’ we created above.
  2. Keep the ‘Simulation’ box checked and click ‘OK’.
  3. On successful simulation run, uncheck the ‘Simulation’ box and click ‘OK’.

That’s all and the key has been changed for you.
