Restriction on Duplicate LOT-SUBLOT creation

As everyone knows, LOT No creation for the raw materials can be done in Purchase Receipt and Miscellaneous Receipt transactions in Sage X3. In LOT No field, LOT will be generated either automatically or manually. User can enter LOT No manually.

Logically, LOT No should be unique for every Product as per the LOT-SUBLOT concept. But system allows user to create duplicate LOT No for the same Product if user is entering LOT No manually. Same LOT No can be created multiple times for the same Product.

To avoid this duplication, we have added a restriction on Duplicate LOT-SUBLOT No creation in such a way that if the user tries to create entry with same LOT-SUBLOT combination then error will be generated. And it will restrict the user to create that entry.

For Example – In Miscellaneous Receipt, we have entered LOT No – RML01LOT01 and SUBLOT – 00001 for RMLAMNT0000000000001 Product and 101 Site on the first line as shown in the below screenshot.

We created the above entry and after that trying to create new entry with same LOT-SUBLOT combination for same product and site, then it is throwing an error “Lot number RML01LOT01 and Sub lot 00001 for product RMLAMNT0000000000001 already exists in site number 101. Creation not possible!”. Refer below screenshot.

It is not allowing to create the entry with duplicate LOT-SUBLOT. But user can use same LOT-SUBLOT combination for the different product and same Site as shown in the above example – Refer Fig1. in which LOT-SUBLOT combination is same for 1st and 3rd lines because products are different.

And if I am trying to enter same LOT-SUBLOT combination for the same product and site in the same entry on different line as shown in the Fig3, Then it will throw an error “Lot number RML03LOT03 and Sub lot 00001 for product RMLAMNT0000000000003 is used multiple times. Creation not possible!”.

It will not allow to create the entry with duplicate LOT-SUBLOT. But for different site, user can repeat the combination for the same product.

Also, to solve duplication problem, we have added 1 condition – if you try to enter same LOT No for the same Product and Site then count of SUBLOT will be incremented automatically for that product after pressing a Tab key.

As you can see in the above screenshot, we have entered same LOT RML01LOT01 for the same product and Site then 00002 is getting flown in the SUBLOT field automatically because we have already created RML01LOT01 LOT with SUBLOT 00001.

We have shown you the example of Miscellaneous Receipt Transaction but we have also added same restriction on Purchase Receipt screen. So it will work same on both the transactions.

Basically, use of this restriction is – user should not repeat LOT-SUBLOT combination for the same product and site again and again. Only Unique LOT-SUBLOT will be generated and duplication of the same will be restricted.
