How to create a requested sequence number in Sage X3

In Sage X3, (formerly known as Sage Enterprise Management or Sage ERP X3), a sequence number is a unique identifier used to generate sequential numbers for documents, transactions, or records. Sequence numbers help maintain consistency and order in various processes within the ERP system.

Here’s how you can work with sequence numbers in Sage X3:

1. Configuring sequence numbers (GESANM):

        Sequence numbers can be set up and managed through the “Sequence number” function. You can access the function through Structures. Use the below path as,

Nav > Setup > General parameters > Sequence number definition > Structures.

In this function, you define the format of the sequence number, the starting value, and any increments.

Definition level :

Definition level defines the seq number where you are using. It can be for,

  • Folder: For a Specific folder, the seq number should be displayed.
  • Company: For Company, the seq number should be displayed.
  • Site : For Site, the seq number should be displayed.

RTZ level :

RTZ level defines that when the seq number should be reset and it depends on the RTZ level as,

  • No RTZ        – It will not be reset.
  • Annual         – It will be reset yearly.
  • Monthly        – It will reset monthly.
  • Fiscal Year   – It will reset depending on the fiscal year you have set up for Company.
  • Period          – It will reset depending on your Period Setup for Company.

Type :

You can select the seq number datatype, as

  • Alphanumeric  –  It will allow all the integers, strings as a seq number.
  • Numeric            –  It will allow only Numbers as a Seq number.

2. Assigning Sequence Numbers:

    When creating a new document or transaction that requires a sequence number, the system will automatically generate the next sequential number based on the setup/Components you’ve defined.

Components:

It contains, How your sequence number will display depends on the entered/Given values.

  • Components contain Component type, Length and  Formula.

It Contains values as Component type :

Constant                – It’ll display the Given constant word as a seq number.

Year                        – It will display Year of documents, transactions, or records as a sequential

                                 numbers. 

Month                     – It will display Month of documents, transactions, or records as a sequential

                                 numbers.

Week                      – It will display Week of documents, transactions, or records as a sequential

                                 numbers.

Day                         –  It will display Day of documents, transactions, or records as a sequential

                                 numbers.

Company               – It will display the Company code as Seq number.

Site                         – It will display the site code as seq number.

Sequence number – Depends on the length it’ll create a Seq number. Eg : length is 4 = 0001.

Complement          –  It will display the entered data in the formula column as a sequence number.

Fiscal year             – It will display the fiscal year of the company as a seq number.

Period                    – It will display the period of the company as a seq number.

Formula                 – It will display the given formula values.

For eg : As requested if you want to get data from an existing table just enter the table and the field. ([F:PTD]PTHNUM) in the Formula Column.

Where, I’m using the Component type as formula and In formula column have entered the table and field from where the data to be fetched as a sequence number.

Depending on the datatype enter the field as shown in fig.

  • [F:PTD]PTHNUM            – Receipt number from Receipt table.
  • NUM$[F:PTD]POPLIN    – Product line from Receipt table.

3. Viewing Sequence Number Usage:

   Sage X3 usually provides a way to track and view the usage of sequence numbers. This

can be helpful for auditing and ensuring that there are no gaps or duplicates in the numbering sequence.

  • NOTE:

I’m generating sequence numbers for miscellaneous receipts. To do this, I’ve created products managed in lots and used the generated sequence number as the lot managed sequence number in the product master.

  • Sequence number(GESANM) is the combination of entered formulas.

4. Backup and Recovery:

Maintaining proper backups of your Sage X3 data is crucial, especially considering the importance of accurate sequence numbers in maintaining data integrity.

In this way, user can create a requested sequence number in Sage X3.
